This Privacy Policy explains how Profit Log (“Profit Log,” “we,” “us,” or “our”) collects, uses, stores, and shares information when you use the Profit Log mobile application, website, and related services.
Profit Log is a business productivity app for freelancers, creators, consultants, agencies, and small businesses. It helps users manage clients, invoices, expenses, reports, payment links, Smart reminders, business workspaces, notifications, and exported business documents.
By using Profit Log, you agree to this Privacy Policy.
2. Information We Collect
We may collect information that you provide directly, information generated when you use the app, and information processed through third-party services.

2.5. Sign in with Apple
If you choose Sign in with Apple, Apple provides authentication and may share your name and email address with Profit Log.
If you use Hide My Email, Apple may provide a private relay address instead of your personal email.
Sign in with Apple is processed by Apple according to Apple’s privacy policies.
2.6. iCloud and CloudKit Sync
When you use Profit Log with iCloud / CloudKit sync enabled, your app data may be stored in your iCloud account and synchronized across devices signed into the same Apple ID.
Synced data may include business workspaces, clients, invoices, estimates, income, expenses, settings, templates, preferences, and team/shared workspace metadata.
CloudKit sharing for Team Collaboration uses Apple’s iCloud infrastructure. Shared data is controlled by the workspace owner and invited members according to assigned roles.
Profit Log does not sell your synced business content and does not send it to third-party AI providers.
2.7. Team Collaboration and Shared Workspaces
If you invite team members to a shared business workspace, selected business data may become accessible to invited members through Apple CloudKit / iCloud sharing.
Sharing is user-controlled. Your private businesses are not automatically shared.
Invited members may access shared data based on the role and permissions assigned by the workspace owner.

6. Payment Links
If you add payment links to invoices, Profit Log may store and display those links in invoice previews and exported PDFs.
Payment links are used so your clients can pay you through third-party payment services. Profit Log does not control third-party payment providers and is not responsible for their privacy or payment practices.
Do not enter payment links unless you are authorized to use them.
7. Smart Messages
Profit Log includes a Smart Messages feature that helps users prepare payment reminders, overdue reminders, follow-ups, proposals, thank-you messages, expense summaries, and monthly business summaries. Smart Messages uses built-in message templates that run inside the app. The feature may use information already stored locally in the app, such as client name, invoice number, invoice amount, due date, business name, and payment status, to prepare a message draft. Profit Log does not send this information to DeepSeek, OpenAI, Gemini, Claude, or any other third-party AI provider in the current production version. No client data, invoice data, business data, or personal data is transmitted to a third-party AI service by Smart Messages.
You should review all drafted messages before sending them to clients.

8. Subscription and Payment Data
Paid subscriptions in the iOS app are processed by Apple through Apple In-App Purchase.

9. Notifications

10. Exchange Rates and Currency Conversion
Profit Log may use backend services or exchange-rate providers to convert invoice and expense amounts into your base currency.

11. Exported PDFs and Business Reports

Exported files may contain business, client, invoice, estimate, expense, payment, and report information. Free, trial, or Starter-plan PDF exports may include a Profit Log watermark; paid plans may remove the watermark when included in the subscription.
You are responsible for deciding where and with whom you share exported files.
11.5. Profile Photo and Business Logo
You may add a profile photo and a business logo inside the app.
These images are stored on your device and, when iCloud sync is enabled, within your iCloud account via CloudKit so they can appear on your devices.
They are used to personalize your account and exported documents. They are not uploaded to third-party AI services.

When enabled, analytics may include basic usage events, screen views, feature usage, subscription tier metadata, device and app version information, and performance signals.
Analytics are privacy-safe: they do not include client names, invoice numbers, invoice or estimate contents, notes, documents, message contents, payment details, bank details, or other personal business content.
Analytics may use a privacy-safe install identifier that does not contain business content. It is used only to understand aggregate app usage, not to read your documents.
You can disable usage analytics in Settings.

16. Data Storage
Profit Log stores information locally on your device. When you sign in and enable sync, the app may use Apple iCloud and CloudKit to sync selected data across your devices.
CloudKit data may include business workspaces, clients, invoices, estimates, income, expenses, settings, templates, preferences, team/shared workspace metadata, and related records you create in the app.
Business logos and profile photos you add are stored on your device and, when iCloud sync is active, within your iCloud account through Apple’s CloudKit services. Profit Log does not upload these images to unrelated third-party AI or marketing services.
Profit Log does not send your business documents to third-party AI providers for processing.
17. Data Security
We use reasonable technical and organizational measures to protect your information. However, no system is completely secure.
You are responsible for protecting your device, Apple ID, passcode, iCloud account, exported files, and any payment links you add to invoices.
18. Data Retention
We retain information for as long as necessary to provide the Service, comply with legal obligations, resolve disputes, enforce agreements, and maintain business records.
You may delete data inside the app where supported. Deleting the app may remove locally stored data unless it has been backed up or synced elsewhere.
18.5. Account and Data Deletion
You may delete local data or your Profit Log account where supported in Settings.
Deleting the app may remove local data unless it was synced to iCloud or exported elsewhere.
Deleting your Profit Log account does not automatically cancel an Apple subscription — cancel subscriptions in Apple ID settings.
